8-10 Weeks Before Event
Recruit Volunteer Team Leaders to take responsibility for various tasks

Make sure satellite equipment is in place and functioning
Confirm plans for room set-up/clean-up, food service, child care, resource sales

Perform equipment tests (see instructions below in Equipment Test section)
Day Before Event
Set up the auditorium
Set up areas for registration, food service, resource sales
Put up signs directing attendees to restrooms, child care, etc.
Day of Event
Make sure you have quality picture and audio via satellite reception before or during the 30-minute countdown period preceding the program
Make sure everything is in place and ready to go
15 Minutes Before Event
Make announcement about refreshments, breaks, restroom locations, resource tables
During Lunch Break
Introduce pastor and key ministry leaders
After Event
Pack up unsold resources

Thank your volunteers
Pat yourself on the back, put your feet up, and rest!
Promotional Ideas
Have your pastor announce the event from the pulpit - or better yet, have your pastor's wife make the announcement.
Do a "skit" during announcements at Sunday services - Be creative!
Use the PowerPoint slide on Sunday mornings.
Hang posters in your church and in your community:
- Christian bookstores
- Schools
- Businesses (places where women shop: nail salons, hair salons, dry cleaners, Starbucks, etc. etc.)
- Other churches
Have a ticket table in the church lobby after Sunday services.
Stuff bulletins with inserts and put additional copies on your ticket table.
Hang posters or flyers in the Women's Restrooms at your church.
Give flyers to your local Christian bookstore for "bag stuffers."
Make announcements in Sunday School classes, Women's Bible Study classes, MOPS Groups, etc.
Organize a phone campaign to call all the women in your church.
Send an email to all the women in your church.
Put a write-up in your bulletin and newsletter.
Use the church website to promote the event.
Contact other churches and get them on board!
Provide bulletin inserts and posters for other area churches.
Send a press release to your local newspaper and women's organizations.
Publicize the event at local Christian schools.
Consider funding scholarships for those who may not be able to purchase tickets.
Encourage the women of your church to invite other women to the event.
Your Promotional Toolbox
Use these resources and materials to promote the Girls of Grace Nation Simulcast in your church and community. Download our list of Promotional Ideas and come up with some of your own!
Radio Promotions: Contact your local radio station and have them interview Point of Grace. They can go to the Radio Webpage and download the interview clips.
Posters & Flyers: Download a modifiable PDF version of the poster in color or black & white (size: 11"x17") and
flyer in color or black & white (size: 8.5"x5.5").
Bulletin Insert: Download a modifiable PDF bulletin insert in color or black & white. Add your church information and print as many as you need. Add to Sunday morning bulletin, place near posters, distribute to businesses and friends to promote the event. (Note: The files are large; allow time for the download.)
Postcards: Download these modifiable PDF postcards in color or black & white and do a mailing to the women of your church and community. Give a few postcards to each woman in your church to send to her friends.
HTML e-Mail Template: Use this template to create an e-mail message inviting women to the event. You can add additional information above the .html template.
Power Point Slide: If your church utilizes PowerPoint for announcements on Sunday mornings, add your church info and give the PowerPoint slide to the person responsible for the rotation.
Press Release: Fill-in your church information and send the press release to the local newspaper to put in either their "Religion" section or "Women" section. You can also use this for other newsletters, such as your community newsletter or club newsletter. |
