Event Planning Timeline

12 Weeks Before Event

  • Recruit Volunteer Team Leaders to take responsibility for various tasks
  • Publicity and promotion; gathering the audience
  • Ticket Sales
  • Lunch/Refreshments
  • Resource Sales
  • Technical
  • Room Set-up/Clean-up
  • Child Care (optional)

11 Weeks Before Event

  • Meet with Volunteer Team leaders to brainstorm, strategize, assign tasks
  • Develop detailed promotional plan
  • Begin promotion in church and community
  • Decide how you want to handle registration, tickets

8-10 Weeks Before Event

  • Have Team Leaders recruit volunteers for their areas
  • Plan food service
  • Plan resource sales area, procedures
  • Contact local pastors to get them involved
  • Continue promotion

6 Weeks Before Event

  • Meet with Task Force to update, evaluate, tweak
  • Continue promotion

2-3 Weeks Before Event

  • Make sure satellite equipment is in place and functioning
  • Confirm plans for room set-up/clean-up, food service, child care, resource sales
  • Continue promotion

1 Week Before Event

  • Perform equipment tests (see instructions below in Equipment Test section)

Day Before Event

  • Set up the auditorium
  • Set up areas for registration, food service, resource sales
  • Put up signs directing attendees to restrooms, child care, etc.

Day of Event

  • Make sure you have quality picture and audio via satellite reception before or during the 30-minute countdown period preceding the program
  • Make sure everything is in place and ready to go

15-10 Minutes Before Event

  • Make announcement about refreshments, breaks, restroom locations, resource tables

During Lunch Break

  • Introduce pastor and key ministry leaders

After Event

  • Pack up unsold resources
  • Clean up
  • Thank your volunteers
  • Pat yourself on the back, put your feet up, and rest!

Promotional Ideas

  • Have your pastor announce the event from the pulpit - do this several times prior to the event.
  • Do a "skit" during announcements at Sunday services - Be creative!  Present the skit at other churches, at the mall, in the park - Be creative, have fun, spread the word!
  • Use the Power Point slide on Sunday mornings.
  • Hang posters in your church and in your community:
    •      Christian bookstores
    •      Schools
    •      Businesses
    •      Other churches
  • Have a ticket table in the church lobby after Sunday services.
  • Stuff bulletins with inserts and put additional copies on your ticket table.
  • Hang posters or flyers in the restrooms at your church.
  • Give flyers to your local Christian bookstore for "bag stuffers."
  • Make announcements in Youth Groups, College Campus Christian Organizations, Sunday School classes, Bible Study classes, Small Groups, etc.
  • Organize a phone campaign to call all the members of your church.
  • Send an email to all those on your churches e-addresses lists.
  • Put a write-up in your bulletin and newsletter.
  • Use the church web site to promote the event.
  • Contact other churches and get them on board!
  • Provide bulletin inserts and posters for other area churches.
  • Send a press release to your local newspaper and organizations.
  • Publicize the event at local Christian schools.
  • Consider funding scholarships for those who may not be able to purchase tickets.
  • Encourage the members of your church to invite friends to the event.

Satellite Information

Self Test and Mandatory Testing

At any time, you may conduct a self-test to see if your CCN satellite equipment is receiving quality audio and video reception.  Follow the instructions below.

In the two-week period preceding the event, we'll ask you to participate in a mandatory test.  We'll ask you to report your test results to us. We ask you to do this as very soon after the date of the mandatory test, we'll not have time to ship replacement equipment or schedule a service call.  We'll let you know the mandatory test schedule by email to your host site coordinator.

Satellite Equipment Test Instructions

  1. If it is not already on, turn-on your receiver.
  2. Go to the CCN channel. The channel number will vary depending on the receiver model.
  3. If a CCN program is not airing, you should see the moving CCN logo and hear the background music.
  4. If you are able to see the picture and hear the discussion or music with clarity, you've had a successful test. Congratulations! Leave your receiver turned-on.
  5. If you do not have quality video or audio , immediately call 1-800-321-6781 and ask for technical support. Our technical staff will be standing by to troubleshoot any problems with you.

Time Delay for Pacific and Mountain Time Zones

In order to provide a quality program start and end time for the Pacific and Mountain time zones, CCN will air the program on tape delay to Pacific and Mountain time zones.  If you are in these time zones, your program will broadcast to you on the Business Television (BTV) channel. Please familiarize yourself with the BTV channel during your test. The channel number will vary depending on the receiver model but usually the BTV channel can be found within a range of several channels, up or down, from the CCN channel. Ordinarily, Laotian programming is aired on the BTV channel so do not be alarmed if you see this while you are visiting the BTV channel. If you have any questions about the time delay or the Business Television Channel, call 1-800-321-6781 and ask for technical support.

Feedback Forms

We are constantly updating and improving upon our events. Feedback is very important to us.

Please print out and distribute the Participant Feedback Forms to your attendees. After the event, ask attendees to fill out the forms and leave them on their chairs or with an event volunteer.
